Overview

As an Ophthalmic Assistant Team Lead, you’ll assist the Clinic Manager supervision of ophthalmic assistants and technicians and generate important preliminary information to be used by the physician. You’ll also be responsible for reviewing patient status and performing medical tests under the direction of the physician.

 

This candidate will oversee a team of technnicians, ensuring high-quality work and efficiency while also participating in scribe responsibilities as well. 

Responsibilities

  • Welcomes patients and visitors with a positive, warm disposition
  • Obtains patient histories through intake assessments, making note of findings in EHR
  • Performs visual acuity, auto-refraction, manual and automated lensometry, Goldmann and Tonopen tonometry tests and keratometry on patients
  • Checks pupils, extra-ocular muscles, confrontational fields and inserts eye drops for dilation
  • Runs diagnostic tests such as Immersion A-scan, OCTs and Visual Fields
  • Administers color vision, depth perception and Schirmer’s tear testing as needed
  • Educates patients on ophthalmic conditions and consent for procedures and surgery
  • Monitors E-faxes and Erx’s to ensure failed attempts are managed timely
  • Maintains exam rooms, including cleaning/sterilization as necessary
  • Scribes for the provider(s) when able, to help the flow and minimize clinic delays
  • In conjunction with the Clinic Manager: sets, monitors and evaluates goals, assists in preparation and documentation of reviews, interviews, hires, supervises, counsels, appraises, and recommends salary increases for back office personnel.
  • Assists with scheduling back office staff assignments and oversees efficient patient flow
  • Meets with the Clinic Manager on a regular basis to discuss operational needs
  • Assists with training back office employees to include, but not limited to, navigation in EHR, MIPS, coding/documentation requirements, provider preferences in the technician work-up and Out-Patient Treatment Center policies and procedures
  • Conducts technician quarterly chart audits, and in conjunction with the Clinic Manager, reviews findings with staff and helps in the development of a plan of action when coding/documentation is not meeting standards
  • Knowledgeable on the provider(s) schedules/templates and able to identify potential concerns
  • Able to accurately enter information dictated by the physician in the electronic health record of the patient.
  • Reviews chief complaint and preliminary work-up completed by the technician to identify accuracy or errors.
  • Corrects and issues prior to the provider starting their examination and conveys any consistent issues with management in a timely manner.
  • Able to perform pretest including (but not limited to); Visual acuity, auto-refraction, manual and
    automated lensometry, Goldmann and Tonopen Tonometry tests and keratometry in accordance with established guidelines. Checks pupils, extra-ocular muscles and confrontation fields.
  • Ensures that the visit flows smoothly with the provider and does not take longer than the allotted time.
  • Knowledgeable in the electronic billing process within EHR.
  • Responsible to generate medication prescriptions, as directed from the provider, through Erx.
  • Knowledgeable in coding and documentation and ensures all pertinent fields are complete in EHR per the providers dictated examination findings and that the assessment/plan is complete and accurate.
  • Able to communicate all provider instructions to patients and/or other doctor’s offices as directed.
  • Responsible for checking schedules for the provider to ensure patients are scheduled correctly and reports any issues to management in a timely manner.
  • Communicates any clinic flow concerns with the facilitator and management in a timely manner.
  • Encourages a team oriented environment and follows company policies and procedures.
  • Able to educate patients on ophthalmic conditions and consent patients for procedures and surgery.
  • Understands and adheres to all MIP requirements and Out-Patient Treatment Center policies and procedures.
  • Responsible to generate letters for referring providers, E-faxing and monitoring fax statuses.
  • Responsible to monitor and complete incoming tasks in a timely manner.
  • Knows, understands and follows the professional, teamwork and customer service standards.
  • Shows respect and deals appropriately with co-workers and patients.
  • Performs other duties as assigned

Qualifications

  • High School Diploma or GED required
  • Bilingual in Spanish is preferred 
  • COA, COT, OSC is a plus
  • At least 1-year of Ophthalmic Assistant/Technician/Scribe experience
  • Prior supervisory experience preferred
  • Detail oriented; reliable and able to multi-task in a fast-paced, high-volume work environment
  • Excellent verbal and written communication skills
  • Flexible schedule working Monday-Friday
