Overview

American Vision Partners (AVP) is looking for a high energy People Services Coordinator who loves people and has a passion for supporting the growth and success of the business and our people. The People Services Coordinator will support multiple groups within the People Services department. These groups include, though are not limited to, Recruiting, Onboarding, Events, People Relations, and HRIS. These tasks may be administrative or more independent in task or project work.

Responsibilities

The following include some of the responsibilities of this role, with other duties as assigned.

 

Recruiting:

  • Manage certain tasks in the recruiting inbox
  • Manage employee referral bonus program tracking and payments

Onboarding:

  • Launch New Hire Onboarding activities and tasks, including background checks, drug screens, I-9’s
  • Track onboarding activities and tasks through completion
  • Communicate with new hires and hiring managers regarding onboarding activities and tasks
  • Upload headshots and new hire documentation
  • Complete I-9 verifications and re-verifications
  • Assist with virtual new hire orientation, which includes serving as the back-up facilitator
  • Organize and ship new hire swag
  • Create and distribute new hire badges

Events:

  • Assist with setting up for and staffing various company events

People Relations:

  • Track and process continuing education requests and reimbursements
  • Assist with People Services email inbox
  • Manage and order recognition awards
  • Assist with filling out various forms, ranging from unemployment documentation to other records requests

HRIS:

  • Reset user passwords for UltiPro/UKG
  • Assist with off-boarding activities
  • Create, format, and upload content on UltiPro/UKG home page

Qualifications

  • High School Diploma or GED required. Bachelor’s degree in HR or related field highly preferred
  • Expert in Microsoft Suite, including Word, Excel, PowerPoint, Adobe PDF, including creating fillable forms and presentations
  • Minimum of 1 years as an Administrative Assistant or Coordinator or similar job experience required
  • Proven track record of being highly organized, task focused, and detail-oriented
  • Strong verbal and written communication skills
  • Excellent with time management
  • Phenomenal attitude and heart for people
